Minutes of Open Meeting Wednesday 17 September 2019 at Bob and Jane's house

Matters arising

1. Jean had contacted Janet Stupples who had agreed to display some letsbuzz leaflets on her Farmer's Market stall. Jean to arrange delivery.

2. Bob has booked the Raj for the meal on 13 October and Jane has booked St Barnabas hall for the Quiz on 9 Nov.

3. Jean has forwarded our leaflet to Katrina for comments.

4. Valerie has circulated a balance list of all members accounts

5. Valerie to speak to Graham re our directory

 

Officers’ reports

Membership

Bob reported that we have one new member Fenella (270).

26 members have either renewed their subscription or had said they would. Ten members had not responded to Bob's reminder email and we agreed that we would each phone two or three of these to find out if they want to remain in letsbuzz. Action : Bob, Jane, Jean, Valerie.


Sterling Treasurer

Mary reported that all membership payments received to date have been paid in and she has also received and paid the invoice for the AGM room hire. The account balance is now £256.13 Jean to liaise with Mary re signature required for new bank book.


Co-ordinators

Jane reported that she had had an email from Janet (102) re the level of her buzzard commitment. We agreed that we did not want to exclude members with a high commitment but instead look for ways to increase trading.

Back to usual with Buzzards being taken for membership (Sean has obviously sorted out the problem).  Do we need to repay Buzzards for the period that was missed?

 ( we agreed not, as this is just a small amount at 1bz per member)

We paid Fenella 10B - the usual new member payment.

There were 44 member to member trades with a value of 367 Buzzards and 5 of these trades were for 30 Buzzards so plenty of trading is taking place.

4 members expenses were claimed totalling 28B.

The overall deficit of Organisation Account has reduced to -7079 a fall of 23 Buzzards.

Welcoming new members

We agreed that we would phone round some of our newer members to encourage them to come to the Quiz.


Future Events

Dates have now been fixed for two events:

1. Sunday 13 October - Sunday buffet lunch at the Raj. Bob reported that nine people had said they would like to come to this.

2. Saturday 9 November - Quiz at St Barnabas hall 7.30 - 10.30pm. Jean to email members and co-ordinate bookings. Tea and cake to be provided. Valerie to contact Janet (102) to ask if she would be able to provide some cakes (agreed we could pay either buzzards or sterling, as required)

Other events

3. December - Jane's wreath making workshop - date tbc

4. January - Wine tasting? Jean to contact Doreen and Rory who had offered to host this.

5. February/March - Clothes and accessories trading event - Barbara (208) had said she might be able to host this and Valerie has offered to help. Jean agreed to contact Barbara to ask her to suggest a suitable date.

6. February/March - Di (165) has offered to host a book trading event - date tbc


All Saints tree festival 22-24 November

The theme this year is 'A-lad-in a manger - The Christmas story or Panto Season?' The deadline for booking a slot is 20 October. Jane to email members to ask for volunteers to help create a letsbuzz tree.


Newsletter

Valerie offered to produce the next newsletter, which is due in November and also to include a request for other volunteers to produce future editions.

We agreed to experiment with an slightly earlier start time for our meetings - 7.30pm rather than 8.00pm
